Settlement & money

Every venue keeps its own money.

One member across all your doors. The money stays with each venue.

Each venue carries its own legal entity, tax ID and branch, its own bank account and its own VAT and service charge settings. Activa records who sold what, where and on which business day, and never holds the money.

The question finance asks

Which venue did the discount come out of?

Every redemption is logged against the venue that gave it, every payment against the venue that sold it, every refund with a credit note numbered for that venue's branch. The answer is a row, not a meeting.

What is in the box

Built today. Coming, marked as coming.

Entities, branches, VAT

A legal entity with its tax ID; each venue on its own branch number with VAT exclusive, inclusive or none, and its own service charge.

PromptPay to the venue's own account

The QR is built on the cashier's phone from the venue's own settlement account. The guest pays the venue directly; Activa never touches the money.

Slip proof

The cashier photographs the transfer slip; it is stored privately against the sale, and the bank reference is read from the slip's QR.

A guard on the account

A personal phone number or ID as the PromptPay target at a VAT-registered venue needs the owner and a written reason.

Every row split, every row frozen

Each payment records sales, VAT, service charge, tip, the rail, the business day and the settlement account, and its money cannot be changed after it is written.

Refunds with credit notes

Partial or full refunds and voids create new rows with credit notes numbered per branch; nothing is overwritten.

The settlement report

Per venue: what Activa collected and what the venue's till logged, as two numbers never added together, plus refunds, till voids and promotions at cost, by business day or calendar day, with CSV.

Scoped managers

A manager bound to one venue sees only that venue's money.

Coming
  • Card and online payments, with fees and payouts reconciled per batch, will come with the payment gateway.
  • Money a member stores to spend later will come only after counsel confirms the e-money rules.
